01Terms of this service

1. Scope. This Schedule applies when you switch on reporting. It forms part of the Terms and the Data Processing Addendum.
2. The service. We store periodic snapshots of the data we extract from your connected systems and produce reports about your own data, so you can see change over time.
3. Your instruction. You instruct us to keep those snapshots for the periods in clause 5, and to use them to produce your reports.
4. Your reports. Your reports show your own data. No other customer sees them, and you see no other customer’s data. You may share your reports with your own staff and advisers. If you give another party access, Terms clause 5.7 applies.
5. Processing details.
   • Purpose: to produce reports for you.
   • Data types: the fields you select, within the categories in Section 5 of the Data Processing Addendum. This includes nationality if you choose to include it.
   • Data subjects: tenants, leads, applicants and staff whose data is in your connected systems.
   • Retention: snapshots are kept for a rolling period of up to 36 months while your subscription is active, and deleted within 90 days after it ends. Backups are overwritten within 30 days.
6. Your responsibilities. You confirm that your privacy information to tenants and applicants covers reporting on their data, including nationality if you include it, and that you have a lawful basis for it.
7. Withdrawal. You can switch reporting off at any time. We then stop creating snapshots and delete those we hold within 90 days. Clause 5.4 of the Terms continues to apply to Aggregated Data already created.
